| exclusion of liability and insurance |
The Commonwealth does not accept any liability for any misadventure (whether by way of travel accident, loss of property, injury, illness or any like occurrence) that you may experience while attending the conference or while in Australia. Overseas guests should make your own arrangements to ensure you have adequate travel insurance for the full duration of your stay in Australia. In addition, you should also ensure that you have suitable health insurance cover.
If this is not available through your travel insurance provider you may obtain such insurance from Australian registered health organisations, insurance brokers and general insurers. The following audio visual equipment will be available in each theatre: ABARE supplied laptop with PowerPoint data projector – to project the display from the laptop onto the screen.
NOTE: Email files should not exceed 5Mb. Files larger that 5Mb should be sent on CD. Please bring a backup version on CD or USB drive with you on the day |

| speeches |
Your speech should be no more than fifteen minutes (a fifteen minute speech is approximately 1800 words).
After your session presentations, there will be a discussion period during which the audience will be invited to ask questions, through the chair, to members of the panel. To maximise opportunities for discussion in the time available, it is imperative that answers be succinct.
Feedback from Outlook conference delegates indicates that the audience generally does not appreciate a presentation that is beyond the time limit or that involves merely reading the formal paper. |

| Your presentation will be preloaded onto a network computer at the conference venue. On your arrival at the conference, your liaison officer can arrange time for you to check through your presentation. |

Your speaker profile and photo will be published on ABARE’s website, and should be forwarded by email to your Outlook liaison officer (see liaison officer contact information page).

- name, position, organisation, location
- how your work relates to the session topic
- relevant work history and qualifications
Please send a colour digital photo (head and shoulders shot) in jpeg format with your speaker profile. |

| conference paper / presentations |
| Your paper, ideally 5—7 pages in length, will be made available on ABARE’s website on completion of your session. Please forward an electronic copy of your paper to your liaison officer (see liaison officer contact information page) and complete the deed of release form and return it to your liaison officer via mail/fax/email. |

| graphics for your presentation |
| You will need to prepare your own PowerPoint presentations. If you need assistance with the production of your presentation, ABARE staff can put you in touch with a graphics bureau in Canberra. Please contact your liaison officer if you wish to use this service (see liaison officer contact information page). |

If you are planning to use PowerPoint for your presentation, please provide an electronic (preferably email) copy to your liaison officer by the due date to ensure the presentation is uploaded correctly to our equipment prior to your presentation.

If you wish to use PowerPoint please contact your Liaison Officer, and an Outlook 2008 PowerPoint template will be provided, which we encourage you to use for your presentation.
- number of slides
Please minimise the number of words and figures on each slide as well as the overall number of slides used in your presentation. ABARE speakers are being advised to have no more than 15 slides for a 15 minute presentation and to use graphics, charts and/or pictures in preference to word slides.

| The session we are asking you to participate in requires each speaker to make a formal fifteen minute (or longer if arranged) presentation that will be followed by questions from the floor. |

| your role as chair |
- Be in the allocated theatre 15 minutes before the session begins.
- Open the session by briefly introducing the speakers and stating the rules of conduct of the session. You should also write a short introductory overview of the session.
- Introduce each speaker as they prepare to speak. Provide the audience with some information about the speaker but keep this short and do not simply read out the speaker’s biographical note in full.

| – your liaison officer will send you copies of bionotes and papers for all speakers in your session closer to the conference. |
- Ensure that speakers do not exceed their allocated fifteen minutes, unless agreed previously.
- Request that members of the audience who have a mobile phone, turn offmobile phones while the session is on.
- Announce that questions will be taken from the floor at the end of the session, or if delegates prefer, they can write their questions and have an usher hand them to you to ask the question for them.
- Oversee the question time at the completion of speeches, ensuring that questions and answers are succinct and that the discussion flows. Repeat any questions if you think the audience did not hear what was asked.
- Suggest one of the panel of speakers to respond if the question is not directed at a particular speaker.
- Request that any person asking a question of the panel give their name, position and organisation before putting the question.
- Pose questions to the speakers if no questions are forthcoming from the delegates.
- Acknowledge the session sponsor if one has been indicated.

- Ensure the session closes on time so delegates can move to the following sessions.
- Announce the time and title of the next session.
